Job Opportunity: Administrative Support Specialist – Corporate Social Responsibility

Purpose of the Job: Reporting to the Senior Manager: Corporate Social Responsibility, the successful candidate will provide comprehensive administrative, operational, and technical support to the Corporate Social Responsibility (CSR) department.

Key Performance Areas:

Compliance Administration:

  • Administer standards, processes, and procedures.
  • Maintain version control on department-related documentation.
  • Ensure compliance with policies and process standards.
  • Stay informed on internal standards and business goals to maintain sound internal control.

Office Coordination:

  • Maintain strict confidentiality in all office-related matters.
  • Handle and respond to office requests within set timelines.
  • Coordinate operational office activities for efficiency and compliance.

Meeting Support:

  • Assist in setting up CSR Committee meetings.
  • Schedule appointments with internal and external stakeholders as needed.

Financial and Procurement Processes Administration:

  • Compile and follow up on Award and Acknowledgement letters from NGOs.
  • Maintain the stock register for the department.
  • Ensure vendor creation by SCM and timely payments to NGOs by Finance.
  • Provide administrative support for all CSR departmental activities.

Document Control:

  • Keep the filing system up-to-date and functional.
  • Manage information retrieval as requested.
  • Ensure document confidentiality and proper recipient delivery.
  • Acknowledge receipt of documents, apply file number allocation, record data, and file appropriately.
  • Update and maintain the department’s assets register and inventory.
  • Maintain records of all files, correspondence, and registers.

Qualifications and Experience:

  • National Diploma in Office Administration, Business Management, or a related discipline.
  • At least 2 years of experience in an administrative or similar role.

  • Proficiency in MS Word, Excel, and PowerPoint.
