Desired Experience & Qualifications:
- NQF Level 4 qualification (SC, NSC, NCV) or equivalent
- A diploma in Communications/Office Administration is an added advantage
- At least one year of relevant experience in a similar environment
- Proficiency in computer skills is a strong advantage
- Excellent written and verbal communication skills
- Knowledge of basic office management principles and practices
- Proficient in telephone etiquette and managing telephone systems
- Experience working on a switchboard
- Familiarity with the education and training environment and NQF Levels
Key Duties:
- Answer and screen telephone calls, transferring them to the relevant unit/person
- Take and relay messages, providing information to callers when possible
- Address queries from the public and stakeholders
- Receive walk-in visitors, confirming their purpose and directing them accordingly
- Handle mail and parcels, organizing delivery to the appropriate departments
- Coordinate with external couriers for parcel collection and delivery
- Manage the telephone management system, registering new employees and allocating codes and passwords
- Generate and distribute monthly call reports, managing costs
- Schedule meetings for board rooms and meeting rooms online, monitoring attendance and cancellations
- Post meeting schedules in communal areas to coordinate housekeeping services
- Ensure the reception area remains clean and tidy
- Liaise with dry cleaners for the cleaning and return of table cloths and similar items
